Google API Services User Data Policy Compliance

Sublime Marketing operates a calendar synchronization service ("Sublime Sync") that integrates with Google Calendar and Gmail on behalf of our clients, exclusively with their explicit consent granted through Google's OAuth authorization flow.

Google user data we access

When a client authorizes Sublime Sync, we may access the following Google user data:

Google Calendar events (via https://www.googleapis.com/auth/calendar scope): to read the client's business calendar events and create appointment blocks that reflect their availability across the integrated platforms (GoHighLevel, Square Appointments, and other booking systems).

Gmail messages (via https://www.googleapis.com/auth/gmail.modify scope): to read booking confirmation emails from third-party booking platforms (such as Jane, Booksy, Boulevard, Gloss Genius, Fresha, Patient Now) and translate those bookings into synchronized appointments in the client's operational calendar.

How we use Google user data

We use Google user data exclusively for the following purposes:

Synchronize calendar events and appointments across the client's business tools (GoHighLevel calendar, Square Appointments, Google Calendar).

Parse booking confirmation emails to reflect new appointments, modifications, and cancellations in the operational calendar.

Prevent double-booking by blocking time slots that are already occupied in any of the integrated systems.

We do not use Google user data for advertising, resale to third parties, or any purpose unrelated to providing the calendar synchronization service to the authorizing client.

How we store and protect Google user data

Access credentials (OAuth refresh tokens) are stored encrypted at rest in Google Cloud Secret Manager.

Event and appointment data is processed in memory and persisted only when necessary for deduplication and delta detection (using anonymized identifiers whenever possible).

All data is transmitted over HTTPS with TLS 1.2 or higher.

Access to Google user data is restricted to the specific automated service account of Sublime Sync and is never viewed by human operators except for troubleshooting with the client's explicit consent.

How to revoke access

Any client who has granted access can revoke Sublime Sync's access at any time by visiting:

https://myaccount.google.com/permissions

and removing the "Sublime Sync" (or equivalently named) authorization. Upon revocation, all associated tokens are invalidated and Sublime Sync stops accessing the client's data immediately.

Data retention

Google user data (calendar events and email content) is retained only for the duration necessary to provide the synchronization service. Anonymized deduplication records are retained for up to 90 days.

Upon service termination or access revocation, all associated Google user data is deleted from our

systems within 30 days.
